Roam Golf Privacy Policy

Roam Golf ("Roam Golf," "we," "our," or "us") values your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use the Roam Golf website, mobile applications, and related services (collectively, the "Platform").

By using Roam Golf, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Platform.

1. Information We Collect

a. Information You Provide

When you create an account, complete your profile, or use the Platform, we may collect information such as:

  • Name and display name
  • Email address
  • Phone number
  • City, state, and general location
  • Account credentials (such as username and password)
  • Equipment listings, descriptions, and pricing
  • Booking and transaction records, including rental dates, amounts paid, and booking status
  • Messages and communications sent through the Platform between renters and listers
  • Equipment photographs uploaded at the time of listing, pickup handover, or return. These photos are stored on our platform and may be visible to other users involved in a booking or used in dispute resolution
  • Star ratings and feedback submitted after completing a rental
  • Condition notes and return notes submitted through the booking workflow

b. Payment Information

Payments on Roam Golf are processed by Stripe, Inc. ("Stripe"). Roam Golf does not store your full credit card or bank account details. Those are handled and secured directly by Stripe.

We may receive limited payment-related information from Stripe, such as:

  • transaction IDs and payment intent identifiers,
  • payment and payout status,
  • last four digits of a card on file (for display purposes only), and
  • Stripe customer and connected account identifiers.

Listers who receive payouts through the Platform must connect a Stripe account and complete Stripe's identity verification process. This process is governed by Stripe's Privacy Policy. Roam Golf does not directly collect or store government-issued ID or bank account numbers submitted to Stripe.

c. Location Information

When you use the "Find clubs near me" feature on the Platform, we may request access to your device's GPS location with your permission. This location data is used solely to surface nearby listings and is not stored on our servers beyond the duration of your browsing session.

Listers provide a city and state when creating a listing. This general location is displayed publicly on listings to help renters find equipment in their area. We do not display precise street addresses publicly without your consent.

d. Automatically Collected Information

When you use the Platform, we may automatically collect certain technical and usage information, such as:

  • IP address
  • device and browser type
  • operating system
  • pages viewed and interaction data
  • timestamps, session duration, and referral URLs

We use this information to help operate, secure, and improve the Platform.

2. How We Use Your Information

We use the information we collect to:

  • create and manage your Roam Golf account;
  • facilitate rentals, returns, purchases, and other transactions between users;
  • process payments, off-session charges (such as late fees, damage fees, and lost/stolen charges), and payouts;
  • communicate with you about bookings, updates, and customer support;
  • send transactional notifications including booking confirmations, pickup reminders, return reminders, payment receipts, and account alerts via email and SMS;
  • send marketing communications such as product updates and promotions, where permitted by law and subject to your preferences;
  • display equipment photos uploaded by Listers to Renters involved in a booking and use photos as evidence in the event of a damage or condition dispute;
  • display publicly visible ratings and listing information to other users of the Platform;
  • analyze usage and improve the design, performance, and features of the Platform;
  • prevent, detect, and investigate fraud, abuse, security incidents, and violations of our Terms & Conditions; and
  • comply with legal obligations and regulatory requirements.

3. Communications

You may receive the following types of communications from us:

  • Transactional communications — including account creation emails, booking confirmations, cancellation notices, payment receipts, pickup reminders sent the day before your start date, return reminders sent on your end date, and important service or account alerts. These are sent via email and SMS and are required for the operation of your account.
  • Marketing communications — including product news, feature updates, and promotions, sent via email where permitted by law.

You can opt out of marketing emails at any time by using the unsubscribe link in the message or by updating your preferences in your account. You may still receive essential transactional messages that are necessary to operate your account and bookings.

4. How We Share Information

We may share your information with:

  • Other users. Only the information reasonably necessary to complete a rental or purchase, such as your display name, general city location, booking details, and equipment photos shared within a booking.
  • Stripe, Inc. To process payments, issue payouts, verify lister identities, and detect and prevent fraud. Stripe's use of your information is governed by their Privacy Policy.
  • Resend. Our transactional email provider, used to send booking confirmations, receipts, cancellation notices, and other account-related emails.
  • Twilio. Our SMS provider, used to send pickup and return reminder messages to renters and listers.
  • Google Firebase. Our cloud infrastructure provider. User accounts, booking records, listing data, messages, equipment photos, and other Platform data are stored in Firebase. Firebase's use of data is governed by Google's Privacy Policy.
  • Professional advisors. Such as lawyers, auditors, or consultants, where necessary to protect our legal rights and comply with obligations.
  • Legal or regulatory authorities. When we believe disclosure is required by applicable law, regulation, legal process, or government request.
  • Business transfers. In connection with a merger, acquisition, sale of assets, or other business transaction, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Platform before your information becomes subject to a different privacy policy.

We do not sell your personal data to third parties for advertising or marketing purposes.

5. Data Storage & Security

Your data is stored on Google Firebase infrastructure, which uses industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls. Equipment photos are stored in Firebase Cloud Storage.

We implement access controls to limit who within our organization can view your personal information, and we require third-party service providers to maintain appropriate security standards.

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security, and you use the Platform at your own risk. Please keep your password confidential and notify us immediately at support@roamgolf.io if you suspect unauthorized access to your account.

6. Data Retention

We retain personal information for as long as necessary to provide the Platform, operate our business, comply with legal obligations, resolve disputes, and enforce our agreements.

Booking and transaction records — including payment history, damage claims, and dispute records — may be retained for a minimum of five (5) years to comply with financial recordkeeping and legal obligations, even after an account is closed.

Equipment photos uploaded to the Platform are retained for the duration of the associated listing and booking period. Photos involved in an open dispute may be retained until the dispute is fully resolved.

If you request account deletion, we will take reasonable steps to delete or anonymize your information, subject to any data we must retain for legal, regulatory, tax, or legitimate business purposes.

7. Your Rights & Choices

Depending on your location and applicable law, you may have certain rights with respect to your personal information, which may include the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of certain personal data;
  • object to or restrict certain types of processing; and
  • opt out of marketing communications by using the unsubscribe link or updating your preferences.

8. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA") may provide you with additional rights, including:

  • Right to Know. You may request disclosure of the categories and specific pieces of personal information we have collected about you, as well as the categories of sources, our business purpose for collecting it, and the categories of third parties with whom we share it.
  • Right to Delete. You may request deletion of personal information we have collected, subject to certain exceptions permitted by law.
  • Right to Correct. You may request correction of inaccurate personal information we maintain about you.
  • Right to Opt Out of Sale. We do not sell your personal information as defined under the CCPA.
  • Right to Non-Discrimination. We will not discriminate against you for exercising any of your CCPA rights.

9. Cookies & Tracking

We may use cookies and similar tracking technologies to help the Platform function and to understand how it is used. For example, we may use cookies to:

  • keep you signed in between visits,
  • remember your preferences,
  • analyze traffic and usage patterns, and
  • improve performance and features.

You can control cookies through your browser settings. If you choose to disable cookies, some features of the Platform may not function properly.

10. Children's Privacy

Roam Golf is not intended for individuals under 18 years of age. We do not knowingly collect personal information from minors. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly. 11. Third-Party Links

The Platform may contain links to third-party websites, services, or applications that are not controlled by Roam Golf. We are not responsible for the privacy practices or content of those third-party services. We encourage you to review their privacy policies before providing any information.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. Material changes will also be communicated via email or in-app notice at least 14 days before they take effect.

Your continued use of the Platform after an update becomes effective constitutes your acceptance of the revised Privacy Policy.
